For a five-day half-term around work, give ChatGPT, Claude, Gemini or Copilot your fixed constraints (work days, who's free, kids' ages, budget), paste listings from venues and clubs you'd actually use, and ask for a day-by-day grid with cover, prices and booking deadlines. Then open every booking page and check times and prices yourself before you pay.
Steps follow Kent County Council's term dates page for the half-term window, checked 5 October 2026. The Harbourline family example is made up.
For pulling dates from a school PDF into a calendar you check first, see Turn a school PDF into checked calendar dates.
What fixed constraints do you give the AI?
Start with dates you have already checked against your own school calendar. For Kent County Council maintained schools, the October half-term in 2026 to 2027 is Monday 26 October to Friday 30 October 2026, per the Kent County Council term dates page. Academies, private and independent schools set their own dates, and staff training days can move a break, so confirm with your child's school before you plan around that window.
Then list what will not change: which weekdays each adult works and when they finish; who can cover mornings, afternoons or full days; ages of the children; travel time you will accept; a weekly budget; and any non-negotiable commitments (appointments, clubs you already paid for). Put those constraints in the first message so the model cannot invent cover you do not have.
How do you feed it venues you would actually use?
Do not ask the model to invent a local directory. Open pages for venues, clubs and activities you already trust or would book, copy the half-term listings (session name, date, time, price, booking deadline, age range, booking URL), and paste those extracts into the chat. If a listing is incomplete, leave the gap blank rather than filling it from memory.
ChatGPT, Claude, Gemini and Copilot are interchangeable here. Use whichever you already have, as long as you can paste text and get a table back. The value is your constraints plus real listings, not the brand on the chat window.
What belongs in the day-by-day grid?
Ask for one row per day of the half-term with: date; who covers morning and afternoon; activity or stay-home plan; source listing used; listed price; booking deadline; booking URL; and any open question. Tell the model not to invent times, prices or availability when a pasted listing does not supply them. Ask it to flag days with no cover or days that blow the budget.
We need a five-day half-term plan around work.
Fixed constraints (do not invent cover outside these):
- Half-term dates: [paste dates you confirmed with your school]
- Adult A work pattern and finish times:
- Adult B work pattern and finish times:
- Other cover available (grandparents, shared care, paid childcare):
- Children ages:
- Weekly budget:
- Max travel time:
- Already booked commitments:
Pasted listings from venues we would actually use (session, date, time, price, deadline, age range, URL). Leave blanks where the listing is incomplete:
[paste]
Build a day-by-day table with: date; morning cover; afternoon cover; plan; source listing; listed price; booking deadline; booking URL; open questions.
Do not invent times, prices, ages or availability. If a listing is incomplete, mark the cell as unknown. Flag any day with no cover and any total that exceeds the budget. Do not book anything; I will open every booking page myself.Example: Harbourline half-term week
Alex and Sam need cover for Monday 26 to Friday 30 October 2026. Alex finishes the office at 17:30 Monday to Thursday and works from home on Friday. Sam works late on Wednesday. A grandparent can cover Tuesday and Thursday mornings until 13:00. Their children are 7 and 10. Weekly activity budget is £220. They paste four listings they would actually use: a council swimming half-term course, a farm park day ticket page, a museum family workshop, and a soft-play morning session.
The model returns a five-row grid. Tuesday morning shows grandparent cover plus the soft-play listing at £18 with a booking deadline of 20 October. Wednesday afternoon shows the museum workshop at £24, but the pasted listing had no remaining places, so the grid marks availability as unknown. Thursday afternoon shows the farm park day. Friday stays home under Alex. The running total in the grid is £186 before soft-play.
Alex then opens each booking URL. Soft-play is still £18, but the morning session starts at 10:30 rather than 10:00. The museum workshop is sold out for that Wednesday. The farm park page shows a school-holiday surcharge the paste missed, so Thursday costs £32 for two children rather than £26. They drop the museum row, keep soft-play with the corrected start time, and keep the farm park at the page price. The grid is useful because it organised cover and deadlines; the booking pages decide what they pay for.
What do you open on every booking page before you pay?
Treat every time, price, age limit and remaining place in the AI grid as provisional. Open the booking URL from your paste (or search the venue if the URL was missing), and confirm session date and start time, total price including holiday surcharges, age or height rules, cancellation terms, and the real booking deadline. If the page disagrees with the grid, trust the page and update the plan.
Models fill gaps with plausible times and prices when a listing is thin. That is why the check sits after the grid, not instead of it. Pay only after the page matches what you intend to book, and keep a simple note of who covers any day you leave blank.
