
Save a recurring review brief as a Gemini Gem so you can use it again. Give it instructions, add a reference file if needed, preview it on a sample document, then click Save. Check each result against the source before sharing it.

Open a new Gem on the web
Choose a review you repeat, such as checking a Friday status note for risks. Keep the first Gem focused on that job. You supply the new document each time; the Gem stores the instructions and any reference files you add.
Sign in at gemini.google.com and open Gems or Explore Gems, then choose New Gem. Google documents creation on the web. You can use a saved Gem elsewhere, but when checked on 17 September 2026, Google Help said Gems don't work in Gemini Live.
Write instructions and optional Knowledge
Give the Gem a name you will recognise next Friday. Write who the review is for, what to check and how to present the findings. Google calls these Persona, Task, Context and Format. If you use Gemini’s option to rewrite the instructions, read the changes before saving.
Knowledge is optional. Start with one reference file for this method; that is a suggested starting point, not Google's file limit. Upload it from your device, or choose a Drive file if Keep Activity is on and Google Workspace is connected to Gemini Apps. Skip it when the pasted document supplies everything the review needs.
Preview, then Save
Paste a sample document into the preview on the right. Compare the reply with both the source and your instructions. Change the instructions if needed, then click Save. Running a preview does not save the Gem.
Open the Gem later from My Gems. Paste the new document, run the review, then treat the reply as draft work until you check it. Google Help says you can use custom Gems on web and mobile, and that they can appear in the Gemini side panel in Workspace.
Example: Friday status risk scan
Call the Gem Friday status risk scan and use the instructions below as a starting point. They ask it to keep blockers visible and name missing facts without inventing owners or dates.
Sample status note for the preview:
Northbridge Payments Migration: Friday status. Build green. Test data still blocked from supplier; no new ETA in this note. Scheme certification raised again in the room; no owner named. Freeze date remains 3 October per last board pack. Steering wants a decision this week on whether the rehearsal slips. Comms pack not attached.
The review should retain the supplier block, flag the missing certification owner and list the absent estimate and communications pack. “No new ETA” means no new estimated arrival or completion date was supplied. If the preview turns the block into a mild delay or invents an owner, revise the instructions and try again.
Persona: You are a cautious programme risk reviewer for Friday status notes.
Task: Read the pasted status note. List material risks and any missing facts a steering reader would need. Do not invent owners, dates, figures or decisions. If something is unclear, put it under Missing facts.
Context: The paste is this week's status only. Treat red or blocked items as still red unless the note says they closed. Do not soften blockers into delays.
Format:
1. Risks (bullet list: risk, evidence from the note, severity as written or unknown)
2. Missing facts (bullet list)
3. One-line confidence note on how complete the paste was

Before sharing the first real review, compare it with the status note and any reference file. Check that red risks stayed red and that every owner, date and estimate has a source. Make sure missing facts are still visible. How to check AI output at work gives a fuller review method.
